Repair or replace? What to do when your old business phone system acts up

Every week we get a call that starts the same way: "Our phone system is older than some of our employees, and it just went down. Do we need a new one?"

Not always. A lot of the Avaya, Lucent, Nortel, Mitel, NEC and Samsung systems in South Florida hotels, hospitals and offices were built to run for decades, and many still can. But some are better off retired. Here's how we help customers make that call.

When repair makes sense

  • The problem is one part, not the whole system. A failed line card, power supply or voicemail drive can usually be swapped the same day with a tested replacement part.
  • Your phones and wiring still work for you. If staff are happy with the handsets and features, there's no reason to throw them out.
  • You have a lot of phones. In a hotel with hundreds of guest rooms, replacing every phone and reprogramming the whole building costs far more than keeping a solid system going.
  • The failure came from outside. Lightning, a power surge or water damage can take out a system that was otherwise healthy. Fix the damage, add surge protection, and it can keep going.

When it's time to replace

  • It keeps failing. If you're calling for service every few months, the repair bills add up fast.
  • Parts are getting hard to find. Refurbished parts for many older systems are still around, but when they get scarce, an outage can last longer than you can afford.
  • You need features it can't do. Mobile apps, voicemail to email, working from home and multiple locations on one system are easy with hosted VoIP and hard or impossible on an older PBX.
  • You're moving. A move is often the cheapest moment to switch, because you're already rewiring and setting up new lines.

What a move to hosted VoIP looks like

If replacing is the right call, a hosted phone system usually costs less up front than a new on-site PBX. There's no big box in the closet to maintain. You keep your existing phone numbers, and the system runs on a US-based carrier with 24/7 English-speaking support. We install and program the phones on site, and we're still your local tech when you need someone in the building.

Don't forget the cabling

Whatever you decide, the wiring behind the wall matters. Old or damaged cable causes static, dropped calls and network problems that look like a phone system issue but aren't. When we run new cable, we use name-brand CommScope cable and connectivity, then label and test every run so it's done right the first time.

Not sure? Ask us first

We've worked on business phone systems in South Florida since 1997, and we'll give you a straight answer. If your system is worth keeping, we'll tell you. If it isn't, we'll explain why and what your options are.
